Job Purpose:To oversee and manage all administrative functions of the organization, ensuring smooth and efficient office operations, compliance with internal policies, and support to other departments in achieving their objectives.Key Responsibilities:Office Management:Supervise daily operations of the administrative department.Ensure a clean, secure, and well-maintained working environment.Manage office supplies, equipment, and facility services.Administrative Systems & Processes:Develop and implement administrative systems, procedures, and policies.Ensure records management systems are up-to-date and properly maintained.Vendor & Contract Management:Manage relationships with external service providers (e.g., cleaners, security, maintenance).Negotiate contracts and ensure cost-effectiveness.Staff Supervision:Lead and manage administrative staff, including receptionists, clerks, and office assistants.Conduct training and performance reviews.Budgeting & Cost Control:Prepare and monitor the department’s budget.Track expenses and suggest cost-saving initiatives.Support Services:Coordinate logistical support for company meetings, events, and travel arrangements.Ensure timely communication and administrative support across departments.Compliance & Reporting:Ensure compliance with company policies, legal requirements, and health & safety regulations.Generate periodic administrative reports for senior management.RequirementsQualifications & Requirements:Bachelor’s degree in Business Administration, Management, or related field.5+ years of experience in office or administrative management.Strong leadership and organizational skills.Excellent written and verbal communication.Proficient in MS Office Suite and administrative software.Knowledge of procurement and facility management is a plus.
