- Provide general administrative support to the VBRP team including calendar management, travel coordination, meeting logistics, and correspondence.
- Maintain accurate records of project documentation, financial transactions, procurement requests, and inventory logs.
- Assist in preparing and editing technical and financial reports, memos, and presentations.
- Support coordination and communication with partner institutions across collaborating countries.
- Track and manage expense reports, petty cash logs, and supply requests in coordination with procurement and finance departments.
- Maintain a well-organized electronic and physical filing system for program records and contracts.
- Support procurement activities by assisting with vendor communication, price quotations, and documentation.
- Serve as a liaison for internal and external stakeholders in both English and Arabic.
- Provide logistical support for training, workshops, and field visits, including document preparation, travel arrangements, and participant coordination.
- Ensure compliance with all U.S. Navy administrative policies and program requirements.
- Professional knowledge in computer programs such as Microsoft Word, Excel, Access, etc.
- Strong organizational skills and attention to detail.
- Ability to work independently and as part of a multidisciplinary team.
- Excellent written and verbal communication skills.
- Ability to handle sensitive and confidential information with discretion.
- Bachelor’s Degree in Commerce or related financial management specialty.
- At least 4 years of experience working in administrative support.
- Language Proficiency: Good command of verbal and written English and Arabic.
- Level IV (as defined by the U.S. Department of State) of written and spoken Arabic and English (ability to communicate in French is preferential but not required), typing (not less than 35 words/min)
- Travel Requirements: Travel may include Djibouti, Jordan, Nigeria, and other countries in Africa and the Middle East, depending on research requirements.
- Must be a US citizen.
