  • Support the the local operation & Project Teams with all local administrative requirements from initiation to completion.
  • Prepare for monthly financial closing by posting all relevant transactions in SAP.
  • Maintain and organise company records, including files, databases, and correspondence, ensuring confidentiality and security.
  • Issue Purchase Requisitions (PRs).
  • Assist the Accounts Receivable team to ensure timely payments.
  • Coordinate with the tax consultant for filing taxation documents.
  • Manage customs portals and related processes.
  • Liaise with carriers and forwarding companies to explore work opportunities.
  • Collaborate closely with stakeholders on Air Products initiatives requiring administrative and facilities support.
  • Ensure all required permits, licences, and similar documents are issued on time and monitor renewal dates.
  • Liaise with government bodies and service providers—such as SCZone, IDA, and GAFI—to ensure compliance with local regulations.
  • Manage end-to-end shipping processes, including order handling and logistics coordination.
  • Prepare shipping documentation, including invoices and customs forms, as needed.
  • Coordinate with shipping carriers and vendors to ensure timely and cost-effective delivery of goods.
  • Track and resolve shipping-related issues, including delays and damages, in coordination with the business team.
  • Maintain effective communication with the business team regarding shipment statuses.
  • Build and maintain relationships with vendors, suppliers, and logistics partners.
  • Use shipping software and portals to efficiently track shipments.
  • Create reports on shipping metrics for review by the business team.
  • Analyse trends in shipping costs and project timelines to identify areas for improvement.
  • Perform general administrative tasks, including scheduling meetings, managing calendars, and maintaining organised records.
  • Assist with budgeting and expense tracking for projects and shipping activities.
  • Manage locally all contracts with Air Products Egypt suppliers with a guidance from the concerned stakeholder (Local Operation, Legal, Regional Procurement, accounting team, etc)
  • Follow up on scrap outcomes and oversee the selling process.
  • Responsible for forecasting and budgeting for all administration-related items.
  • Handle local purchasing requests and supplies, including stationery, equipment, and furniture, in line with company policies and budget constraints.
  • Manage company transportation services for staff and visitors as needed, ensuring smooth operations and high service quality.
Preferred Qualifications:
  • Bachelor’s degree in business administration, accounting, or equivalent.
  • Proven experience as an administrator, or in a similar role, preferably in an industrial company
  • Good English spoken and written
  • Strong organizational and multitasking skills with a keen attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and SAP in additional.
  • Excellent communication and interpersonal skills.
  • Ability to work both independently and collaboratively in a fast-paced environment.
  • Familiarity with shipping regulations, customs procedures, and best practices is a plus.
  • Egypt Law & Taxations requirements.

Workplace Requirements
  • The duties will be outside the office site, in addition to work in a well-lit and ventilated area, having the necessary tools and gauges to perform the Job.
Experience
  • Driving license for more than 5 years.
  • 10 years + of relevant experience.

  • Structured & accurate in time.
  • Ability to work independently and manage multiple tasks and assignments.
  • Self-motivated.
  • Agreed to work in and out the office.
  • Extend the working hours based on the work needs.
