- Greet visitors politely and guide them to the appropriate person or department.
- Answer and transfer incoming phone calls in a clear and friendly manner.
- Receive and pass along mail, documents, and packages to the correct person.
- Keep the front desk area clean and tidy at all times.
- Help with booking meeting rooms and preparing simple meeting arrangements.
- Assist with basic administrative tasks such as photocopying or scanning when asked.
- Provide information to staff and visitors when needed.
- Handle online purchases by receiving links from staff and processing payments using the organization's credit cards.
- Coordinate the booking of air tickets as requested, ensuring proper approvals are obtained.
- Act as a focal point for communication and coordination with the cleaning contractor.
- Follow up on stationery and toner stock levels, maintain inventory records, and report when restocking is needed.
- Support other departments with ad hoc tasks and errands as assigned.
- Bachelor's degree in Business Administration or a related field.
- Previous experience in a similar role is helpful but not required.
- Friendly and respectful attitude with good communication skills.
- Basic spoken and written English skills are required.
- Able to use office equipment like phones, printers, and computers.
- Able to use Microsoft Office applications (Outlook, Word, Excel) at a basic level.
- Neat appearance and good personal hygiene.
- Organized and able to follow instructions.
- Positive attitude with a willingness to learn and help solve basic problems.
- Typical office environment such as walking, sitting, typing, using office equipment, and occasional lifting of boxes or documents.
- Working out of the official hours and on weekends may be required.
